Home AMBROSIE is a registered private provider of social services. 138 clients use residential services. In 26 years on the market, the company has been in charge of 4,500 household patients.
In 2019, the company’s executive director decided to proceed with the digitalization of the company.
The aim was to make the implementation of administrative tasks simpler, reduce the dependency of individual employees on specific offices and make the training of new employees easier.
The years 2020 and 2021 posed an extreme traffic load as they were accompanied by fears, uncertainty, chaos and enormous increase in administration. However, at the same time, those years confirmed that the decision - to start using available technologies to the full - was right and well-timed.
The last area that needed attention was automated process management and remote work management.
In January 2021, we proceeded to the automatization of a maximum amount of processes in order to reduce the organizational and administrative workload (that affects especially social workers). The winner of the selection procedure was ApuTime. The factors that decided the winner were the presence of an autonomous planner, system flexibility and an extremely simple user interface suitable for ordinary employees who do not use a computer, but only a mobile phone.
Digitalization considerably helps in communication between management and ordinary employees. Moreover, it maximizes the task-handover speed with the limitation of personal contact, which is currently a priority in social welfare services.
A part of processes is automatically activated by filling in a form on its website (application for admission, reservation of dates for video-calls, reporting technical defects in a building, and others). The employees of individual departments assign and manage the rest. The necessary documents are stored in a cloud environment. The integration of ApuTime with MS Outlook enables APUtime to be linked with calendars.
